Tutoring session log template: turn completed lessons into invoice lines

Record the lesson once, distinguish completed sessions from cancellations, and keep a clear link to the invoice that bills it.

Download the free Excel tutoring session log with formulas. It includes a blank 200-row log and fictional worked examples. Enter minutes and an hourly rate to calculate completed-session amounts; add an invoice number after billing to remove that session from the unbilled total. Scheduled and cancelled sessions do not generate a charge.

Blue cells are inputs and green cells contain formulas. Review flags identify duplicate session IDs, invalid durations or rates, and unknown statuses. Resolve flags before using the totals. The workbook is for hourly services and is not a service-log import file for GetESAPaid.

Use the blank tutoring session log CSV in Excel, Google Sheets or another spreadsheet. For a completed example, download the fictional two-session service log. Both downloads are available without signup. These are CSV files, not automated workbooks: they contain no formulas, macros or program approval checks.

This template is for the tutor recording a delivered lesson. If you need the document asking a parent or program for payment, use the tutor invoice template. A lesson plan describes what you intend to teach; a session log records what happened; an invoice states what you are charging. Keeping those purposes separate makes a later correction easier to explain.

What to record after each session

Record the rendering tutor and any applicable credential reference where your program or contract requires it. Keep the supporting credential in the appropriate protected record; a public template is not a reason to publish it. Do not add assessment scores, family circumstances or detailed learning notes just to fill an empty column.

The blank file uses a student reference for working records. The invoice or official submission may require the student's full name. Check the relevant state invoice requirements before preparing the payer-facing document.

Worked example: 90 minutes is 1.5 hours

Suppose a tutor completes a 60-minute reading session and a 30-minute follow-up at an agreed rate of $75 per hour. The invoice lines are:

Do not enter 1.30 hours for an hour and thirty minutes: decimal hours and clock notation are different. Keep each service date visible instead of replacing both lines with an unexplained monthly charge. If your agreement uses a fixed session price rather than an hourly rate, use the invoice template's billing examples and label the unit accordingly.

This is arithmetic using fictional lessons, not confirmation that a particular program will fund the service or accept that price.

A repeatable weekly billing routine

  1. Record the lesson after delivery. Add the actual date, minutes and service description while the details are fresh. A scheduled calendar slot is not evidence that the lesson happened.
  2. Resolve cancellations separately. Keep the cancellation in the scheduling record. Do not turn it into a completed service. Whether a cancellation charge is payable depends on the agreement and the program; do not assume a private-pay policy transfers to ESA funding.
  3. Review unbilled completed sessions for one student. Confirm the dates belong in the billing period and that the agreed rate is correct. Exclude sessions already linked to an invoice.
  4. Create and review the invoice. Use the required student identity, provider details, category and payment route. Save the session references that support its lines.
  5. Mark the sessions with the invoice number. Do this after saving the invoice so the log does not falsely say an unsaved draft was billed.
  6. Track payment elsewhere. Use an invoice tracking register to distinguish submission, review and the final receipt of funds.

What happens when a session is corrected?

If a session was entered as 60 minutes but the actual delivered service was 45 minutes, record the reason and use the corrected duration. At $75 per hour, 45 minutes produces $56.25. If the original invoice has already been submitted, preserve it and follow the correction workflow; silently changing the log does not update a document already held by a payer.

Do not delete an inconvenient entry to make two totals agree. The useful record explains the difference: the original entry, what actually happened, the corrected amount, and the invoice version or support reference that resolves it.

Using the log with GetESAPaid

You can enter service sessions in the student's record, then use unbilled sessions when preparing an invoice. Review the selected sessions and hourly rate before saving. The application links claimed sessions to the invoice so they are not offered as unbilled again. Preparing the next billing period gives you new service dates to complete instead of silently rebilling last month's dates.

The CSV download is a standalone worksheet; it is not a service-log import file for GetESAPaid. Start with a few sessions in the product and compare the resulting lines with your own records. There is no need to move a working scheduling system before testing whether the invoice workflow helps.

Common questions

Does every ESA program require a signed tutoring log?

Do not infer a universal signature requirement from this template. Check the current state, service-category and account instructions. Where a signature or other confirmation is required, retain that evidence alongside the relevant service record.

Can the log replace an invoice?
